Clinic Management Hub

Central hub for staff roles, branches, schedules, clinical catalog, consent forms, audit log, and print templates.

Staff management

Manage your entire team from Settings > Staff, or from the Clinic Management Hub.


INVITING STAFF

  1. Click + Invite Staff Member.
  2. Enter: full name, email, role (Clinic Owner / Doctor / Nurse / Receptionist), and specialty (for Doctors).
  3. Click Send Invitation.
  4. The staff member receives an email with a one-click sign-in link valid for 48 hours.
  5. If they do not accept within 48 hours, click Resend from Settings > Team.

DOCTOR PROFILES

Each doctor has additional configuration:

  • Working Hours: per-day availability (can differ per branch for multi-branch clinics)
  • Appointment Colour: displayed on the shared calendar grid
  • Appointment Types: which types this doctor sees
  • IOL Constants (Optical): personalised A-constants and pACD per IOL model
  • Consultation Fee: default fee for new patient and follow-up visits

BRANCHES

For multi-location practices, create branches under Settings > Branches > + New Branch.

Each branch has its own: address, phone, opening hours, and doctor assignments.

A doctor can be assigned to multiple branches — their schedule shows per-branch time blocks.

Patient records are shared across all branches of the same clinic.


DEACTIVATING STAFF

Settings > Team > [staff member] > Deactivate. The user cannot log in; their historical records are preserved. Reactivation is instant from the same screen.

Clinical catalog — services, medicines, lab tests

The Clinical Catalog manages the priceable items that appear on invoices and session service tabs.


SERVICES & PRICES (Clinic Management > Clinical Catalog > Services)

Each service has:

  • Name (Arabic + English)
  • Category: Consultation, Procedure, Lab, Imaging, Package, Other
  • Default price (EGP)
  • CPT code (optional, required for insurance claims)
  • VAT applicable: yes/no

Services auto-populate the Services tab in clinical sessions and new invoices.


APPOINTMENT TYPES & FEES

Separate from services — appointment types define the duration and default consultation fee:

New Patient Consultation: 30 min, EGP 300 default

Follow-up: 15 min, EGP 150 default

Procedure: 60 min (configurable)

Create custom types for your specialty (e.g. Laser Session, Physiotherapy Assessment, Antenatal Visit).


MEDICINE STORE (Prescription Catalogue)

Over 200 pre-loaded Egyptian market drugs with:

  • Active ingredient, brand name, form, strength
  • Dosing hints (free text field for common regimens)
  • Add custom medications: Clinic Management > Clinical Catalog > Medicines > + Add Custom

LAB TEST TYPES

Define the lab tests your clinic orders most frequently. Each test has a name, LOINC code (optional), expected turnaround time, and whether results are entered structured (e.g. FBC fields) or uploaded as PDF.
