Automated reminders, waitlist management, and a self-booking link work together to keep your appointment book full — even when patients cancel last-minute.
The Hidden Cost of No-Shows
A single missed appointment in a busy clinic costs an average of 15–20 minutes of productive physician time and a slot that cannot be resold at the last minute. Multiply that across a week and the revenue impact becomes significant — before even counting the operational friction of gap-filling.
ClinIT's appointment module was built with this problem at its centre.
Automated Multi-Channel Reminders
When a patient books a slot, ClinIT schedules three automatic reminder touchpoints:
- Confirmation SMS/WhatsApp — sent immediately after booking.
- 48-hour reminder — includes a one-tap confirmation or cancellation link.
- 2-hour reminder — a final nudge with clinic directions.
Each message is personalised with the patient's name, doctor name, and appointment time. Clinics that activate all three touchpoints typically see a
35–40% reduction in unexplained no-shows within the first 30 days.
When a patient cancels via the reminder link, ClinIT automatically scans the waitlist, picks the next eligible patient, and fires a notification offering them the newly freed slot. The slot is held for 15 minutes (configurable); if the waitlisted patient doesn't confirm, the system moves to the next candidate.
This means the cancelled slot is recovered — often without any manual intervention from reception.
Public Self-Booking
Every clinic on ClinIT receives a shareable booking link (
clinit.app/book/[your-clinic-slug]). Patients can view real-time availability, pick a doctor, choose a service type, and confirm their slot directly. The booking is immediately visible to reception in the calendar view.
Self-booked appointments have measurably lower no-show rates because the patient has taken active ownership of the slot.
Recurring Appointments
For chronic-disease patients who need follow-up every 2–4 weeks, ClinIT supports recurring appointment templates. A single setup creates the next N visits, each with its own reminder sequence.
Reporting
The Analytics dashboard surfaces:
- No-show rate by doctor, by day of week, and by appointment type.
- Average time from booking to cancellation.
- Waitlist conversion rate.
This data lets practice managers identify which slots are most at risk and apply targeted interventions (e.g., calling high-risk patients manually the day before).
Getting Started
Enable reminders in
Settings → Notifications → Appointment Reminders and paste your WhatsApp Business API credentials. The waitlist feature is on by default once a queue is created. The self-booking link lives in
Settings → Public Booking.
